Getting Started (the form is below all of the information)

Welcome to Zion UCC! We would love to host your event! Before submitting your rental request below, please check our calendar to confirm that the space you desire is not already booked: https://zionucc.com/events

Rental Spaces are as follows:
    ·    Kuck Hall (our Fellowship Hall): Includes full size tables/chairs; Seats ~120; Optionally includes access to kitchen, overhead screen, sound system
    ·    Classroom 1:
     -Front half of classroom includes tables & chairs and Seats ~12.
     -Back half of classroom includes casual seating (sofas, chairs, TV, etc.) and Seats ~15.
    ·    Classroom 3: Includes child-size tables & chairs and Seats ~12 children. 

Please Note: Before your rental is finalized, you must:
  1. Complete and sign this Rental Agreement (electronically)
  2. Pay designated Rental Fees (as detailed below) 
  3. Provide proof of Liability Insurance coverage (see Section 4 below) 

Church Members: There are no fees. However, a donation of $25 or $50 to pay for utilities is appreciated.

Non-Members:
Kuck Hall fee: $100     
Classroom fee: $50

Payment: Online payments may be made below using this form and are processed immediately. Payments via check should be made payable to: Zion United Church of Christ, 15 Koenig Circle, Tonawanda, NY 14150, and must be received no later than one week prior to your event. 

Section 1: RESPONSIBILITIES

1.1  Care of Church Property

The Renter agrees to:
    ·  Exercise proper care in the use of church facilities
    ·  Leave the facilities in the same condition as found
    ·  Remove all decorations, personal items, and trash
    ·  Report any damage immediately to John Pauling, Church Administrator (john.zionucc@gmail.com)

1.2  Setup and Cleanup

The Renter is responsible for:
    ·  Setting up tables, chairs, and decorations
    ·  Returning all furniture and equipment to its original location
    ·  Sweeping/mopping floors (if necessary). The Cleaning Closet is in the main hallway next to the men’s restroom.
    ·  Removing all trash and recycling and replace trash bags. Garbage and recycling totes are in the entryway of Kuck Hall.

1.3  Kitchen Use (if applicable)

The Renter is responsible for:
    ·   Cleaning all countertops, sinks, and appliances used
    ·   Washing, drying, and returning all dishes, utensils, and equipment
    ·   Properly disposing of food waste
    ·   Removing all personal food items from refrigerator and freezer
    ·   Following all posted kitchen rules and instructions

1.4  Decorations
·   No nails, tacks, staples, screws, or adhesives that may damage surfaces
·   No glitter or confetti
·   No open flames except for cake candles; Battery-operated candles are permitted
·   All decorations must be removed after the event

1.5  Food and Beverages
·  No alcoholic beverages are permitted on church property
·  Renters must provide all food items, paper products, utensils, and supplies

Section 2: GENERAL GUIDELINES

2.1  Supervision

Renters shall provide adequate supervision for all attendees, especially children. If children access the nursery and/or outdoor playground, all toys must be returned and cleaned up before leaving.

2.2  Prohibited Activities

The following are not permitted on church property:
    ·   Smoking or tobacco products
    ·   Alcoholic beverages
    ·   Illegal drugs or substances
    ·    Activities contrary to the church’s values and beliefs
    ·    Disorderly conduct

2.3  Noise Levels

Music and noise must be kept at reasonable levels out of respect for neighboring properties.

2.4  Capacity

For safety reasons, the number of guests shall not exceed:
    ·   Kuck Hall: 120 persons
    ·   Classroom 1: 27 persons
    ·   Classroom 3: 12 children

2.5  Parking

Parking is available in the church parking lot in designated areas only.

Section 3: FACILITY ACCESS AND SECURITY

3.1  Building Access

Our Church Administrator will provide you with access to the facility via a temporary keypad code.
    ·   The access code will be provider to the Renter one week prior to your event
    ·   This code will be valid only during the rental period requested
    ·    The code must not be shared with anyone other than the event organizer
    ·   Renter is responsible for ensuring all doors are properly secured upon departure

3.2  Security Responsibilities

The Church uses security cameras to monitor the entire property 24/7, both inside and out (excluding restrooms).

The Renter agrees to:
    ·   Close and lock all doors upon leaving the premises
    ·   Monitor entrance points during the event
    ·   Report any security concerns immediately to John Pauling, Church Administrator (john.zionucc@gmail.com)

Section 4: INSURANCE REQUIREMENTS

4.1  Liability Insurance

All renters (both one-time and recurring) must provide proof of liability insurance. This helps protect you and your party in the unlikely event of an accident or property damage. Most homeowner's or renter's insurance policies include liability insurance that will cover you. The insurance certificate should be returned to John Pauling, Church Administrator (john.zionucc@gmail.com) and must show:
    ·   Liability coverage of at least $100,000
    ·   Coverage dates that include the rental date(s)

4.2  Obtaining Coverage

Renters may choose one of the following options:
    ·    Use your existing insurance:
         o   One-Time Renters: You can provide a copy of your homeowner's or renter's insurance policy which shows proof of liability coverage. This might be the first page or declarations page. Most people can download this from your insurance company's website or by contacting your agent to request a copy.
         o   Recurring Renters Only: You must provide a Certificate of Insurance (COI) naming Zion United Church of Christ, 15 Koenig Circle, Tonawanda, NY 14150 as an additional insured.

    ·    Purchase One-Time or Recurring Event Liability Insurance:
         o   Purchase from an Insurer of your Choice: You can purchase a liability insurance policy from any insurance provider of your choice. 
         o   Purchase from the UCC Insurance Board: Alternately, you can obtain an insurance policy from the UCC Insurance Board by applying for coverage through the Tenants & Users Liability Insurance Program (TULIP):

o   When prompted for Church IB Number, enter Q031700

Section 5: CANCELLATION POLICY

5.1  By Renter

If Renter cancels:
    ·    With 7 or more days’ notice: Full refund of rental fee
    ·    With less than 7 days’ notice: No refund of rental fee

5.2  By Church

The Church reserves the right to cancel this Agreement in case of:
    ·  Failure by renter to provide proof of liability insurance coverage or payment of rental fee
    ·  Unforeseen circumstances requiring use of the facilities (funeral, emergency, etc.)
    ·  Natural disasters or unsafe conditions
    ·  Violation of church policies

In the event of cancellation by the Church, all payments will be fully refunded.

Section 6: LIABILITY AND INDEMNIFICATION

6.1  Responsibility for Damages

Renter assumes full responsibility for the condition of church property resulting from the event. Repair costs and/or cleaning costs will be the Renter’s responsibility.

6.2  Indemnification

Renter agrees to defend, indemnify, and hold harmless the Church from any and all claims arising from the use of the facilities, except those resulting from the Church’s gross negligence.

6.3  Personal Property

The Church is not responsible for loss or damage to personal property brought onto the premises.
